Terms & Conditions

1. Introduction

These Terms & Conditions govern the purchase of tickets and participation in the St Wystan’s School Centenary Ball (“the Event”). By purchasing a ticket through sws100ball.co.uk, you agree to be bound by these Terms.

2. Event Details

The Event will take place on 21st November 2026 at Pears Hall, Repton School.
The organisers reserve the right to make reasonable changes to the programme, timings, or venue if required.

3. Ticket Purchase & Payment

  • All tickets must be purchased through sws100ball.co.uk.
  • Tickets are sold individually or as tables of 8 or 10, subject to availability.
  • Full payment is required at the time of booking.
  • Tickets are non‑refundable except in the circumstances outlined in Section 8.

4. Seating Arrangements

  • Guests who purchase tickets together in one transaction will be seated together (up to the maximum table size).
  • For tickets purchased separately, seating together cannot be guaranteed, although we will make every effort to accommodate requests.
  • Table sizes are limited to 8 or 10 guests depending on availability.

5. E‑Tickets & Entry

  • Confirmation and e‑tickets will be sent to the email address provided at checkout.
  • Guests must present their e‑ticket (digital or printed) on arrival.
  • The organisers reserve the right to refuse entry to anyone without a valid ticket.

6. Dress Code

The Event is Black Tie / Formal Evening Wear. Guests are expected to dress appropriately for the occasion.

7. Behaviour & Conduct

  • All guests are expected to behave respectfully towards staff, volunteers, and other attendees.
  • The organisers reserve the right to remove any guest whose behaviour is deemed unsafe, disruptive, or inappropriate.

8. Cancellations & Refunds

  • Tickets are non‑refundable unless the Event is cancelled by the organisers.
  • If the Event is cancelled, ticket holders will be offered a full refund or an alternative date (if applicable).
  • If a guest is unable to attend, tickets may be transferred to another person, but the organisers must be notified in advance.

9. Photography & Media

  • Photography and videography will take place during the Event for promotional and archival purposes.
  • By attending, guests consent to the use of images in school communications, marketing materials, and future event promotion.

10. Food, Allergies & Dietary Requirements

  • Dietary requirements must be provided at the time of booking or no later than 7th November 2026.
  • While every effort will be made to accommodate allergies, the venue cannot guarantee a completely allergen‑free environment.

11. Liability

  • The organisers accept no responsibility for personal belongings brought to the Event.
  • Attendance is at your own risk.
  • Nothing in these Terms limits liability for personal injury or death caused by negligence.

12. Privacy & Data Protection

  • Personal data collected during ticket purchase will be used solely for administering the Event.
  • Data will not be shared with third parties except where necessary for event delivery (e.g., venue, caterers).
